Where AI is used

Gage, Fill Job With AI, voice transcription, payroll-image extraction and growth coaching use OpenAI. AI helps interpret requests, organize records, draft summaries and explain results. Manual entry and the regular records and calculation features remain available without AI.

What is sent

Using an AI feature sends the text, audio, image or relevant authorized records needed for that request to OpenAI. This may include customer or financial information you supply. Confirm employer and other required permissions, provide only what is necessary and avoid passwords, payment credentials and unnecessary sensitive information.

Personal job questions and reports are restricted to the current user’s permitted records. Company features follow workspace permissions. Public terminology lookups use allowlisted industry terms rather than private customer names, addresses or job notes as search queries.

Check outputs and actions

AI can misunderstand instructions or speech, confuse people or dates, omit facts or invent information. Review drafts, extracted payroll, matches, reports and proposed actions before saving or confirming them. Verify important amounts against original records and actual payroll. An estimated commission is not a promise of employer payment.

A draft is not a saved job. Supported actions use application tools and permissions; review any preview or confirmation presented. AI does not have unrestricted authority to bypass account access controls. These outputs do not replace professional, safety, legal or financial judgment.

Provider policies and retention

OpenAI’s published API policy says API data is not used to train its models by default unless the API customer opts in. Retention varies by feature, endpoint and provider account settings, and may include abuse-monitoring or other permitted retention. FieldClimb does not promise zero retention or that AI-request data stays entirely within FieldClimb.

Questions and corrections

Correct or cancel a draft when needed and contact kevin@fieldclimb.com about a problem. AI availability and allowances can vary. A provider outage or unavailable allowance does not itself remove the app’s ordinary manual features. The Terms of Service and Usage Policy explain service risks, backups and responsibilities.
