Operators and purpose
Zach Barbre and Kevin Aalders operate FieldClimb. We use information to provide, protect and support the service and your authorized account. We do not sell your personal or customer records or provide your private job, customer or payroll content to advertisers. Necessary service-provider processing is explained below.
Information we handle
Only enter information you are authorized to use. FieldClimb handles:
- Account identity, sign-in, display names, preferences, beta permissions and notification settings.
- Jobs, customer details, notes, dates, sales, pay records, goals, imports and files you enter.
- Buddy connections, messages, attachments, reactions, groups, challenges and sharing choices.
- Text, recordings, images and relevant authorized records submitted to AI features. Saved drafts and results may become account records.
- Operational metadata needed for security, support and usage costs, such as request times, errors, broad device categories, device push subscriptions and AI token counts.
- The policy version, document fingerprint, age-18-or-older confirmation and time of acceptance associated with your account. We do not collect your date of birth through the acceptance checkbox.
Account access, Buddies and sharing defaults
Personal workspace records are separated by account. Company workspace access follows assigned roles. Authorized operators may access information when necessary to run the service, provide support, investigate errors or security issues, or meet legal obligations. A Buddy relationship does not give someone access to your individual customer records, job notes or account controls.
For new ordinary accepted Buddy connections and new accepted group memberships, available progress-sharing categories start on, including aggregate sales, jobs, reviews, memberships, goals, expected job pay and received pay. Existing saved sharing choices remain in place. Turn off any category you do not wish to share before posting or entering new activity. New sales can automatically create a win announcement; permitted details follow the current sharing settings. Challenges have separate participation terms.
Kevin and Zach are welcome follows for new members. These follows do not automatically enroll new members in the founders’ own Buddy lists or send founders their sales. You can remove a follow. Push preferences start on where provided, but actual delivery requires device permission and an enrolled device. In-app notices remain separate.
Messages and files you send are visible to their intended accepted recipients. Group members see messages from their join boundary. You can mute, remove or block available connections. These actions stop relevant future sharing or access; they cannot recall screenshots, downloads or information already seen.
Service providers, AI and GIFs
Vercel provides hosting, Supabase provides database and sign-in services, and OpenAI processes AI requests. Email and device-push providers process what is needed to deliver invitations, account messages and notifications. This necessary processing is separate from selling customer records.
Using AI sends the request content and relevant authorized data to OpenAI. Using GIPHY search sends the words you search for and ordinary network or device information to GIPHY; viewing GIFs loads media from its services. Do not type confidential customer or job details into GIF search. Providers handle information under their applicable policies; we do not promise zero provider retention.
We may disclose information with your direction, when required by law, or as reasonably necessary to address fraud or security threats.
Platform analytics and founder messages
The founder Command Center uses account identity and limited operational metadata, including feature actions, request outcomes, broad device categories and AI token usage. Its analytics exclude private job/customer content, sales and commission amounts, payroll, uploaded contents and AI prompts or responses. An open tab alone is not meaningful activity. Raw analytics events have a 180-day retention policy; security and administrative audits have separate needs.
Professional categories are optional. Small demographic reports with fewer than five users are suppressed. Kevin and Zach may send in-app product, onboarding or service messages to selected users. Optional in-app outreach can be turned off in FieldClimb updates. These messages do not change Buddy relationships or sharing choices.
Storage, history and safeguards
We retain information to provide the service, preserve financial and audit history, support security and resolve requests, and meet legal obligations. Archiving or cancelling a job does not erase its history. Buddies currently displays up to the newest 5,000 conversation messages within 90 days, in pages of 50. This display window does not itself physically delete older stored records.
We use verified sign-in, access permissions, database row controls, restricted server access, recovery facilities and change verification to reduce risk. No online service can guarantee perfect security or recoverability. Keep independent copies of important information and originals.
Sign-in uses cookies or similar session mechanisms. Preferences and push subscriptions may use device storage. Acceptance is saved to your account, not only to a device. Avoid storing unnecessary sensitive information in FieldClimb.
Your choices and requests
Buddy phone notification previews start on and may show a sender’s display name, message excerpt, shared sale amount or GIF on the lock screen. Only sale amounts shared with the recipient are included. Turn previews off in notification settings to receive generic alerts instead; device settings also control visibility. Once delivered, a notification cannot always be recalled. GIF image previews depend on device support.
You can use manual entry without AI, review Buddy sharing and notification settings, remove or block available connections and change device permissions. Optional social features and outreach controls are separate from agreement to these terms.
For requests to access, correct, export or delete information, or questions about these notices, contact kevin@fieldclimb.com. We verify the account before acting and explain records that must be retained for financial history, security, consent evidence or legal reasons. Requests do not automatically erase company-controlled records. FieldClimb is for people age 18 and older.
Changes
We update the effective date and version when these notices change and provide notice of material changes. We seek any permission required before using existing data in a materially different way. New agreement may be requested for a materially updated bundle.
